Who we are

This website is operated by The Solution Clinic ("we", "us", "our"), a sports therapy clinic with locations in Loughborough and Derby. We are the "data controller" for the personal information described in this notice.

What this notice covers

This notice explains how we handle personal information in connection with this website. Your treatment records, and the information you give us during appointments, are covered by the separate consent and privacy information we provide at the clinic.

The information we collect

We keep the website deliberately simple, so it collects very little directly.

• When you book an appointment. Booking is handled through Acuity Scheduling, a third-party scheduling service. The details you enter to book, such as your name, email address, phone number, the appointment you choose and any payment, are collected and stored by Acuity on our behalf, not by this website. Acuity's own privacy information also applies.
• When you contact us. If you phone us or message us on Instagram, we receive the information you choose to share, for example your name, contact details and the reason for your enquiry, so that we can respond.
• Technical information collected automatically. When you visit the site, our web host records standard technical information such as your IP address, browser type and the pages you view, in order to keep the site secure and working. Embedded content from Google, meaning the fonts and the maps, also receives your IP address in order to load.

We do not use analytics, advertising or tracking cookies on this website.

How we use your information, and our lawful basis

• To provide and manage appointments you book with us. Lawful basis: taking steps at your request, and performing our contract with you.
• To respond to enquiries you send us. Lawful basis: our legitimate interest in answering people who contact us.
• To keep the website secure and running. Lawful basis: our legitimate interest in the safe operation of our site.

Where the information relates to your health, we handle it because it is necessary for the provision of healthcare and treatment by us as health professionals, and in line with our professional duty of confidentiality.

Cookies and embedded third-party content

This website does not set its own tracking or advertising cookies. Some content is embedded from other companies, which may set their own cookies or receive your IP address when that content loads:

• Acuity Scheduling (Squarespace), the booking tool on our contact page.
• Google Maps, the clinic location maps.
• Google Fonts, the site's typefaces.

These are provided by third parties under their own privacy policies. If you would prefer to block them, you can use your browser's cookie and privacy settings.

Who we share your information with

We do not sell your information. We share it only with service providers that help us run the clinic and this website, and who act on our instructions, including:

• Acuity Scheduling and Squarespace, for appointment booking and reminders.
• Our web host, for hosting the website.
• Google, for the fonts and maps embedded in the site.

We may also disclose information where we are required to by law.

Where your information is processed

Some of these providers may process information outside the UK. Where that happens, we rely on those providers' safeguards for international transfers, as required by UK data protection law.

How long we keep your information

We keep personal information only for as long as we need it for the purposes described in this notice. Booking and appointment information is retained by Acuity for as long as we need it to manage your appointments and our records. Enquiry messages are kept only as long as we need them to deal with your enquiry and for our reasonable business records. Clinical and treatment records are kept in line with professional healthcare guidance.

Your rights

Under UK data protection law you have the right to:

• ask for a copy of the personal information we hold about you;
• ask us to correct information that is wrong or incomplete;
• ask us to delete your information, or to restrict or object to how we use it, in certain circumstances;
• ask us to transfer certain information to you or to another provider;
• withdraw consent, where we rely on it.

Complaints
